Office Manager

Paragraph Inc., a Philadelphia-based brand strategy agency, is looking for an Office Manager to organize and coordinate administration duties and office procedures. Our ideal candidate is an energetic and communicative team player who is highly organized and not afraid to take on new challenges to better serve our clients and our team. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and day-to-day operation. 

Key Responsibilities:

  • Schedule meetings and appointments

  • Manage communication and price negotiations with office vendors and service providers

  • Maintaining inventory of internal supplies

  • Provide general support to visitors

  • Assist in the on-boarding process for new hires and interns

  • Assist in the planning, organizing, and managing to execute projects from beginning to end

  • Monitor and manage project budgets and resources

  • Work under the direction of the account manager to collect client and project information, objectives, budgets, deadlines, etc.

  • Assign project team members to tasks within the project, while creating and managing detailed schedules throughout the duration of the project

The ideal candidate must possess:

  • Proven experience as an Office Manager, Front office manager or Administrative assistant in the creative industry

  • Strong organizational and planning skills

  • Knowledge of office administrator responsibilities, systems, and procedures

  • Experience with a variety of office software, marketing, and digital tools

  • Excellent time management and prioritization skills

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong proofreading skills

  • A creative mind with an ability to give and receive constructive criticism

  • Highly developed teamwork skills

Freelance Graphic and Web Designers
